Overview

The M.S. Chadha Center for Global India (CGI) at the Princeton Institute for International and Regional Studies (PIIRS) is seeking a Center Coordinator (CC) to provide detailed, operational assistance for the CGI as a whole during the academic year. The individual will serve as a scheduler and faculty assistant for the Director, be responsible for a variety of administrative and financial support duties for the Center Manager, and manage all Center-related events, workshops, conferences, and meetings. The CC will be responsible for the planning and execution of internal and external publicity for the Center events in coordination with PIIRS and other departments.

 

The position is a benefits eligible, part-time (50% duty time), 12-month position.

Responsibilities

Event Coordination and Website/Social Media Management
• Coordinate presentations, workshops, colloquia, and stakeholder meetings; initiate meeting polls and email
• Organize catering for receptions, presentations, workshops, and colloquia; oversee pre- and post-event preparation and cleanup
• Handle all printing and digital distribution of documents relating to committee presentations, workshops, and other meetings
• Coordinate with PIIRS and other university offices to manage event publicity via websites and other forums
• Update and maintain Center email lists and weekly newsletters (preparation and distribution)
• Manage the CGI’s website, social media, and YouTube channel; regularly monitor CGI email inbox

 

Director's Assistant
• Manage the Director's reimbursements, correspondence, and other day-to-day needs. Prepare and reconcile reports for expenses
• Oversee a complex Director's schedule, which includes international travel and in-person and virtual meetings
• Manage the Director's graduate student workshops, including liaising with the student coordinator, ordering food, reserving space, and acting as an A/V assistant for presentations
• Manage the Director's research workshops related to CGI activities

 

Course and Student Engagement Support
• Support the summer PSIP-Bengaluru (internship) program and annual thesis awards
• Update the CGI website for campuswide courses relevant to CGI
• Maintain the student funding requests

 

General Office
• Under the direction of the Center Manager, assist with day-to-day financial tasks
• Manage routine website and ListServ updates

Qualifications

Essential Qualifications

• Bachelor's degree or equivalent

• 3+ years administrative experience

• Experience in events management or related administrative work
• Knowledge of business process management tools and financial applications like PeopleSoft/Oracle, Concur
Ability to draft emails and assist with email newsletters and event campaigns via Constant Contact, Mailchimp, or similar email platforms
• Ability to multitask and work independently with high attention to detail and follow-through
• Enjoy working in a fast-paced, project-driven office
• Ability to tactfully handle confidential information
• Comfort with Zoom videoconferencing
• Proficient writing and editing skills

 

Preferred Qualifications

• Experience with international cultures and regions
• Interest in India and Asia
• Facility with languages (Hindi in particular), a plus
