Overview

The Princeton Precision Health (PPH) Initiative seeks an Administrative Services Manager to independently and proactively manage a wide variety of administrative processes and tasks. The successful candidate will take on a broad range of tasks, including high level executive support, financial and other reporting, communications and marketing, personnel recruitment and onboarding, event ideation and planning, and other administrative duties as needed. The Administrative Services Manager will need strong interpersonal and communication skills and must stay highly organized under tight timelines with the ability to manage and prioritize multiple, competing tasks.  

 

This is a three-year term position, with the possibility of renewal dependent upon job performance and available funding.

Responsibilities

Scheduling, Logistics, and Administrative Coordination: 

Providing a high level of executive support for the Princeton Precision Health Director and other external and internal chair-level PPH stakeholders. Proactively and independently anticipating administrative and logistical issues in relation to PPH operations. Coordinating the very busy calendar of the Princeton Precision Health Director, scheduling internal and external meetings with industry executives, senior advisors, and the senior administration of Princeton University. Independently planning and arranging for the Director’s business travel and reimbursement. Scheduling and coordinating meetings for the larger PPH team. Proactively following up on pending meetings and other administrative items related to PPH.

 

Financial and Grant Support: 

Providing financial and grant support to the Director and Executive Director as needed. Working with grants manager on post-award grants management (monitoring spending, etc). Assisting the Director and Executive Director with drafting financial and grant reports. Supporting PPH grant applications, drafting administrative documents for grants (e.g. BioSketches) and other pre-award support as needed. Developing and monitoring the budget for PPH seminars and events.

 

Event Planning:

Planning and implementing the many Princeton Precision Health events. These will include special workshops and symposia, weekly seminars, and senior external advisory council meetings. Working with Director and Executive Director on overall conception and planning.  Directly responsible for scheduling, planning logistics, and travel arrangements.  Communicating with attendees, room reservations, arranging set-up/break-down, event catering, building services, and A/V services support as necessary. Arranging for hotel accommodations and travel for event speakers as well as reimbursements post-event. Serving as a main point of contact for the day of the event and troubleshoot issues.

 

Personnel Recruiting and Onboarding: 

Drafting job descriptions and working with central offices (HR and the Dean of the Faculty) to post positions. Triaging and sorting applications. Organizing interviews. Onboarding new employees.

 

Other duties: 

Other responsibilities and special projects as needed in a rapidly growing and evolving new initiative. 

Qualifications

Bachelor’s degree or equivalent in years of experience.
Experience managing administrative functions.

Excellent interpersonal skills; advanced writing and editing capabilities. Ability to work independently as well as with colleague including faculty, administrators, students, alumni and external organizations.

Ability to multi-task and meet deadlines.

Flexible and responsive.

Proficient in multiple business and administrative software tools.
