Overview

The Princeton University Art Museum seeks applications for the role of Digital Asset Coordinator. Reporting to the Manager of Art Information, the Digital Asset Coordinator will work in collaboration with staff from across the institution to facilitate the Museum’s ongoing digital asset management program, which is focused on the storage, description, distribution, and retention of the Museum’s digital assets, including images, video, audio, and documents. In addition, this position will play an important role in supporting the Museum’s expanding creation and delivery of digital experiences online and on-site.

The Museum currently presents exhibitions in its two downtown venues (Art on Hulfish and Art@Bainbridge) and is touring collections exhibitions nationally and internationally. When the Museum opens its dramatically reconceived building, scheduled for spring 2025, it will initiate a new exhibitions program with annual exhibitions on-site and on tour.

Responsibilities

In this inaugural role, the Digital Asset Coordinator will act as front-end administrator for the Museum’s digital asset management system (DAMS), ResourceSpace by Montala (known locally as ‘Atrium’). They will play a lead role in setting institutional standards, workflows, and policies to underpin three core aspects of the Museum’s digital asset program: ingestion and storage; metadata and description; and access and use. Their remit covers organizing, cataloging, preservation, and managing digital media and associated metadata necessary to support the Museum’s collections, exhibitions, and programming.

 

As a member of the Communication and Information (C&I) department’s Art Information team, the Digital Asset Coordinator will collaborate with staff across the Museum–most closely with the C&I Systems team and photo studio–to oversee the use of the DAMS, supporting both internal and external user groups.

 

Specific responsibilities will include

 

  • Ingesting, tagging, cataloging, organizing assets, and refining workflows for the DAMS
  • Partnering with the Collections Systems Specialist (the DAMS database administrator) and other front- and back-end system administrators to integrate content from various                sources and databases
  • Handling routine DAMS troubleshooting
  • Performing quality assurance of assets, updating metadata, formatting, and file naming
  • Translating user needs into system configurations to help guide future system development and integrations
  • Assisting staff with ingesting Museum assets; communicating any inconsistencies or issues
  • Creating and maintaining documentation and staff training materials for proper digital asset management usage and workflows
  • Providing support, training, and assistance to Museum staff on effective usage of the DAMS
  • Assisting with asset organization and distribution for Museum staff and external users
  • Undertaking advanced asset searches and generating reports of digital assets  
  • Performing any other duties reasonably related to the functions described above

 

This role will share responsibility with others in the C&I department regarding the management of image rights and permissions activities.

 

 

Qualifications

Essential Requirements

  • Experience in digital asset management including ingestion and storage workflows and protocols; digital asset metadata, description schemas, and taxonomies; access and usage policies; training and user support
  • Experience with database management, including creating organizational file structures, advanced searches, and batch processes
  • Close understanding of digital asset management integration between digital asset management platform with related collections information, content management, and project management databases
  • Knowledge and understanding of digital asset file parameters, color profiles, resolution, compression, file size, and formats
  • 3+ years’ experience in a museum, library, or cultural heritage institution operating a digital asset management system
  • Very high level of organizational and communication skills
  • Experience successfully working in a collaborative team

 

Preferred Requirements

  • Experience with ResourceSpace digital asset management system
  • Familiarity with The Museum System (TMS) collections information platform
  • Familiarity with Microsoft Office 365 platform (including Teams) and Airtable project management databases
  • Solid analytic skills to improve processes
  • Understanding of how museums are organized and how they document their collections
