Overview

This position of Paralegal provides administrative, projected-related support to the attorneys in the Office of the General Counsel (OGC).  As part of a four-person administrative team, reporting to the OGC Executive Assistant and Office Manager, the paralegal must be a team player who can handle multiple projects (including those relating to Trust & Estates, Property Transaction, Litigation Support, Government Investigations and Subpoenas) within a heavy workload with grace and good humor and who does not hesitate to assist others as circumstances may require.  The paralegal must be proactive and well-organized with meticulous attention to detail in matters of mapping out workflow, proofreading, document processing, and working collaboratively.  The paralegal must be proactive in consulting with  attorneys  and in providing them with information that enables them to prioritize their work for the day.  The paralegal requires frequent interaction with high-level administrators, faculty, and third-parties outside the University; and therefore, requires a high degree of independent judgement, tact, and professionalism as well as a profound respect for the confidentiality of the documents and communications involving the OGC.  The paralegal must be able to handle multiple time sensitive demands using the appropriate judgement to accommodate requests. 

Responsibilities

This position will have the following two main duties:

 

Project Management (75%):

  • Manage a variety of short and long-term projects for the OGC, demonstrating proficiency in research, analysis and document preparation typical of paralegal responsibilities. 
  • Provide leadership and direction for day-to-day project operations; utilizing paralegal expertise in document review, regulatory compliance, and litigation support when necessary.
  • Projects are mostly legal in nature and will require the candidate to exercise a high degree of judgment and be extremely well organized and proactive. 
  • Project areas will require the PC to independently interact and address issues with University clients and third parties outside of the University. 
  • Must be able to effectively and efficiently produce time sensitive materials.

Administrative support to attorneys within the OGC (25%):

  • Scheduling meetings, arranging and coordinating logistics for events
  • Preparing presentations and materials
  • Screening and responding to telephone calls
  • Drafting correspondence
  • Electronic and paper filing
  • General and legal document preparation
  • Travel arrangements and expense reporting
  • Maintain OGC databases, track litigation hold notices
  • Assist attorneys with outside counsel invoice review processing and assist with legal matter budget analysis and reporting, using OGC’s e-Billing system
  • Provide coverage for the administrative team during absences.

Qualifications

Essential Minimum Required Knowledge, Skills, Competencies, and Abilities:

  • College degree or paralegal certificate.
  • Proactive, a team-player, and well-organized. 
  • Ability to plan and execute projects, with tact and appropriate independent judgment.  
  • Meticulous attention to detail in matters of proofreading, document processing, and collaborating with others.  
  • Ability to be proactive in working with attorneys, providing them with information that affects their priorities during a hectic day.
  • Ability to maintain attorney-client privileged and confidential attorney work product documents, information and communications. 
  • Comfort with interacting with high-level administrators and faculty.
  • High degree of judgment, tact, and professionalism as well as a profound respect for the confidentiality of the documents and communications involving the Office of General Counsel.

Experience Preferred

  • Experience with Serengeti/Legal Tracker, SharePoint, and Concur.
