Overview

The Department of Physics seeks an experienced professional to assist the Director of Graduate Studies (DGS) in managing the academic administration of the graduate division of the department.  The Graduate Program Administrator acts as the interface between the DGS and the many constituents with whom they interact: departmental faculty, departmental students, the Chairs of the department, the Graduate School, and other University administrative units.  This individual liaises closely with the DGS to execute routine administrative tasks, identify issues requiring the DGS’s intervention, and gather information to efficiently make required policy decisions.

Responsibilities

The day-to-day activities of the Graduate Program Administrator will include (but are not limited to): managing the administrative and logistical aspects of graduate student academic and social matters; maintaining complete and accessible records (admission files, important memoranda, departmental actions, etc.); managing the graduate admission process and recruitment effort; entering labor accounting information; maintaining accurate spreadsheets and data on department support funding; updating and monitoring the graduate academic information on the department’s website, development of the academic website, maintaining alumni databases; maintaining up to date information for statistics reporting; responding to general graduate student and prospective student inquiries; liaising with the Registrar’s office, Graduate school, and other campus offices; generating and maintaining a rapport with the graduate students; serving as a support for the Undergraduate Coordinator and Academic Services Manager.

 

While the detailed responsibilities of this position are numerous and important, the overarching task is to ensure the smooth functioning of the department's Graduate student affairs and to assist the DGS in administering the resources needed for graduate student success.

Qualifications

  • An undergraduate degree is preferred or equivalent experience of at least 3 years of prior administration in an academic environment.
  • The position involves daily access to sensitive student matters; discretion and tact of the highest order are a primary requirement. 
  • Excellent written and oral communication skills are essential, as are strong organizational and multi-tasking skills.
  • High level of competency with Word and Excel with system applications such as PeopleSoft, Concur, Drupal and PRIME are essential. Social media skills are a plus.
  • Familiarity with Princeton University administrative functions is desirable.
