Overview

Princeton University’s Center for Statistics and Machine Learning (CSML) seeks a talented assistant for an open part-time events and administrative assistant position located in Princeton, NJ. Reporting to the center’s assistant director, the events and administrative assistant is the primary contact for events, travel, and administrative support at CSML and its academic program, under the guidance of the Academic Program Manager.

 

This is a one-year position with the possibility of renewal contingent upon funding availability and performance.

Responsibilities

Event Support:

  • Manage all center-wide events including guest lectures, conferences, receptions, workshops and academic program related events.
  • Support all related event logistics including coordinating room requests, tech setup, catering, etc.
  • Identify and address speaker/guest needs, including arranging travel and related reimbursements/honorariums
  • Responsible for reconciliation of all related expenses
  • Collaborate with faculty, students, invited speakers, vendors and campus partners

 

Academic Program Support:

  • Assist in organizing student activities and events, including ordering food and reserving event space
  • Assist faculty with course materials and support; manage course waitlists
  • Connect with students routinely for general information, requests, and feedback
  • Research/order promotional giveaway items and manage inventory
  • Assist with management of confidential student data, creating/updating additional reports and lists via listserv, Excel and PeopleSoft

 

General Administrative Support:

  • Assist with general administration of center as needed
  • Maintain accurate listservs/mailing lists
  • Create and maintain a welcoming and productive office environment
  • Order office and building supplies
  • Manage all building space requests via University’s EMS system
  • Maintain cleanliness and organization in common spaces (kitchen, conference room, lounge, etc.)
  • Submit building work orders to Facilities

Qualifications

Essential Qualifications

  • High School Diploma or GED
  • 3+ years of experience in events management or related administrative work
  • Excellent interpersonal communications skills (both written and oral)
  • Exercises good judgement/decision-making skills
  • Ability to multitask and work independently with strong organizational skills and attention to detail/accuracy
  • Comfort with Zoom videoconferencing
  • Utilize discretion in handling confidential information
  • Ability to establish priorities, anticipate demands and meet deadlines
  • Proficiency in Microsoft desktop applications (PowerPoint, Word, Excel) and Google Workspace applications

 

Preferred Qualifications

  • Associate or bachelor’s degree
  • Experience working with faculty in a higher education setting
  • Knowledge of Concur (or similar) travel expense processing system
  • Familiarity with Princeton University applications, expense policies and processes
