Princeton University’s Center for Statistics and Machine Learning (CSML) seeks a talented Academic Program Manager. Reporting to the Assistant Director, the Academic Program Manager is responsible for managing the Undergraduate Minor and Graduate Certificate academic programs as well as managing all student activities and events, creating and maintaining course information, assisting faculty with course materials and support, and general team support of the Center's administrative operations. This position also has a dotted line supervisory role to the Center's Events and Administrative Assistant in coordinating the day-to-day assignments for 50% of that role.
Manages the Undergraduate Minor and Graduate Certificate Programs
• Works closely with the Directors of CSML to ensure smooth functioning of the program
• Responds to inquiries from prospective/existing students; Advises on enrollment process/course selection; Tracks and audits students' completion of requirements
• Updates/submits course information into Registrar’s Undergraduate Announcement, website and Course Information System (CIS) including scheduling and evaluations
• Process new courses and application process
• Coordinates with key constituents to determine AI assignments/needs
• Manages annual Independent Work portal, grading, and awards
• Maintains student databases, email list serv, student records, and post-graduation contact information
• Coordinates meetings and assistance for core graduate course
• Participates in promotional activities including Academic Expo, information sessions, and more
• Creates program-specific handouts/materials in printed and digital formats
• Coordinate Undergraduate Course Assistants, Peer Mentoring and Student Ambassador Programs
Financial Management
• Creates an annual budget assigned Undergraduate Minor and Graduate Certificate funding
• Manages academic program funds, including reconciliation and expense approvals
• Processes TA/AI appointments
Personnel Management
• Dotted-line supervisory reporting structure to Events and Administrative Assistant
• Coordinates workload and responsibilities for 50% of Events and Administrative Assistant position relating to all academic programming administration and events
Essential Qualifications
• Bachelor’s degree or equivalent
• 5+ years of relevant work experience
• Exceptional analytical, problem-solving, and decision-making skills; high attention to detail partnered with the ability to think and execute strategically
• Highly effective organizational and project management skills
• Ability to exercise good judgement, maintain confidentiality, and handle sensitive information in a discrete manner
• Excellent interpersonal skills (customer service) and strong oral/written communication skills
• Ability to adapt to a flexible environment
• Manage multiple priorities simultaneously and work independently
• Advanced level of competency with Word, Excel, PowerPoint, G-suite
• Managing, auditing and reporting on data
• Must be available to work some evenings, as needed
Preferred Qualifications
• Experience in an academic environment
• Working knowledge of Princeton University Applications, PeopleSoft, Prime, Labor Accounting, Information Warehouse, Concur and Canvas
• Familiarity with financial management
