Overview

The Environmental Studies and School of Engineering and Applied Science (ES/SEAS) complex is a new facility opening spring of 2025. The ES/SEAS complex will house the departments Geosciences, Ecology and Evolutionary Biology, High Meadows Environmental Institute, Chemical and Biological Engineering, and the Omenn-Darling Bioengineering Institute.

 

Venue Services, a division of Campus Support Services, oversees facility operations of the mixed-use facilities across campus, including Frist Campus Center, 701 Carnegie Center, 100 Overlook, Julis Romo Rabinowitz and Louis A. Simpson buildings, and East Pyne/ Chancellor Green. Venue Services provides broad services for classes, events, and gatherings, supporting tenants, users of the space, and guests.

 

A member of the Venue Services division of Campus Support Services, the Venue Associate for the Environmental Studies and School of Engineering and Applied Sciences (ES/SEAS) complex provides broad operational support for users of the facility. As part of the venue team in the complex, the Associate provides one-stop facility services, including coordination and implementation of logistics planning, technical support, scheduling, building access, deliveries, accessibility accommodations, guest services and facility maintenance.

 

The Venue Associate assists with planning and implementation for events in common spaces and centrally managed spaces. The Associate provides advanced planning, assisting with scheduling, setup and support plans, and day-of support, including assistance with registration, signage, setups, catering support, deliveries, and supplemental technical support. The Associate will serve as the lead for select events. Occasionally, the Associate will provide support and/or serve as a back-up for ES/SEAS departments hosting their own events.

 

The Venue Associate supports the Senior Venue Manager in working collaboratively with key service partners, including Campus Dining, Print and Mail Services, and Building Services, assisting with the development and implementation of support plans, management of door access (exterior and interior), and with the communication and implementation of emergency operational plans. The Associate is responsible for the monthly billing of gas use in the central loading dock and collaborates with Print and Mail Services on support planning for the central loading dock. The Associate takes the lead in registering facilities work orders for common spaces.

 

The Venue Associate collaborates with the Venue Multimedia Associates to provide broad technical support for classes and events. In collaboration with the Multimedia Associates, the Venue Associate assists with level one technical support, such as troubleshooting for classes and events, and use of technology throughout the complex.

 

The Venue Associate provides exceptional support for users of the spaces and fosters excellent relationships with the University community. With high visibility and a pro-active approach, the Venue Associate is readily available to address the needs of users of the facility. The position requires the ability to interact with various users across campus, and the capacity to adapt to dynamic, changing situations positively and proactively. The position has flexible hours, including nighttime and weekends, to provide needed support for classes and events. With a foundation of service excellence, the Associate is a key resource for the users of the complex.

Responsibilities

Daily operational support
o Oversight of daily operations of the space including guest experience, department needs, and event support
o Provides logistical support for events
o Provides supplemental technical support for classes and events and serves as a first responder to emergency needs for in-class support
o Provides logistical support and supervision for events in common spaces, including advance logistical planning, event implementation, setups, technical support, and day-of guest services
o Responsible for the monthly central billing for gasses used by the departments in the complex

 

Assistance with facility maintenance, including upkeep, repair, and replacement of furnishings and equipment
o Coordinates facility maintenance in collaboration with the venues team and Facilities, for building needs and issues, including upkeep, repair, custodial support, and replacement of furnishings and equipment
o Venue lead for submitting and tracking facility work orders for common spaces

 

Additional duties, including:
o Participation in University Services and Campus Support Services meetings and initiatives
o Assists with Campus Support Services support for major events, including Convocations
o Other duties as assigned

Qualifications

ESSENTIAL QUALIFICATIONS:

o High School diploma
o Minimum of 3 years of experience of event support or equivalent work experience
o Extensive experience in customer service with a demonstrated ability to skillfully manage all levels of customer issues
o Ability to conduct training and informational sessions
o Excellent interpersonal, oral and written communication skills and the ability to communicate with a diverse customer base who possess varying levels of technical proficiencies
o Demonstrated computer skills
o Excellent organizational skills and ability to prioritize tasks
o Willingness and ability to work with a flexible schedule, including early mornings, late nights, weekends, holidays and long hours
o Ability to lift 50 pounds


PREFERRED QUALIFICATIONS:

o Experience working in higher education
o AV technical skills, including working capabilities with audio and video software and hardware systems and equipment
