Overview

Reporting to the Senior Associate Director for Graduate Alumni Relations, the Coordinator, Graduate Alumni Relations is an integral member of a three-person team responsible for managing the University's graduate alumni relations effort. The Coordinator provides operational and administrative support, data tracking and metrics reporting, and project management, with particular attention to customer service. This position is responsible for the planning and implementation of events, programs, and projects that connect graduate alumni with each other and the University.

Responsibilities

Volunteer Engagement 

  • Support the Association of Princeton Graduate Alumni (APGA) and its leadership, including assisting with the identification of new volunteers.
  • Provide support to APGA leadership and committees, including arranging three annual APGA Board meetings, managing the annual dues solicitation process, supporting the APGA Treasurer in budget management, and partnering with the APGA Secretary to maintain and grow APGA communications and social media presence.
  •  Assist with APGA Reunions planning, including management of volunteer committees, event logistics, registration management, event communications, and budget tracking.
  • Assist with research, reporting, and logistics in support of academic department alumni outreach and initiatives.

Regional Engagement and Events 

  • Assist with and promote graduate alumni attendance and participation at on-campus signature events including Homecoming, Alumni Day, Affinity Conferences, and campus partner events such as Princeton Research Day and the GradFUTURES Forum.
  • Provide administrative, logistical and events planning support for initiatives that connect students with the broader alumni community including regional welcome events, new student orientation activities, and commencement reception.
  • Assist with regional graduate alumni relations events and initiatives. Collaborate with colleagues in Regional Engagement, Affinity Programming, and Alumni Education and Travel to encourage graduate alumni involvement.

Communications and Team Operations 

  • Assist the Graduate Alumni Relations team with communications, events planning and implementation, scheduling, and overall administration for the team.
  •  Manage broadcast emails and coordinate Tiger News submissions. Monitor the Graduate Alumni Relations inbox and respond to inquiries.
  • Handle invoice processing and contracts, and expense reporting.
  • Perform database coding, data management, reporting and metrics tracking.

Additional Responsibilities

  • Assist with and attend "all-hands" Alumni Engagement events, including Alumni Day, Reunions, Executive Committee meetings, and on-campus events/conferences.
  • Participate in related working groups and committees as needed.
  •  Assist with other duties as assigned.

 

Qualifications

Essential Qualifications:

  • 3-5 years of relevant office experience
  •  Excellent written and oral communication skills
  • Experience with strategic planning, project management, and events management
  • Demonstrated effectiveness in working with diverse individuals in a team-oriented environment
  • Strong organizational skills, attention to detail, and problem-solving abilities
  • Excellent interpersonal and customer service skills
  •  Proficiency in Microsoft Office suite and database management systems
  • Willingness to travel and ability to work nights and weekends as required

Preferred Qualifications:

  • Bachelor's degree
  • Experience in higher education, alumni relations efforts, and/or volunteer management
  • Marketing and events planning experience
  • Familiarity with Princeton University, its alumni, and its traditions
