Overview

The Department of Geosciences is seeking an Undergraduate and Graduate Program Manager (UGPM), who will serve as a proactive representative of the Department and act as the primary interface between the Department and its main constituents, including undergraduate and graduate students, faculty, the Office of the Registrar, Office of the Dean of the College, the Graduate School, and other University administrative units. The UGPM performs a variety of management and administrative functions; demonstrates a superior level of customer service to efficiently make required policy, procedure, and financial decisions; and ensures the Department’s undergraduate and graduate students meet Department and University requirements and timelines.

Responsibilities

Graduate Responsibilities

  • Oversee the departmental graduate admissions process including organization of applicant data and dissemination of that data to the Chair, the Director of Graduate Studies, the faculty, and the Department Manager. Organize visits by prospective students, and track admitted student responses.
  • Plan, coordinate, and execute all administrative aspects of the Graduate Program and serve as the primary contact for students.
  • Manage processes including student reenrollment, general exams, and the final public oral examination. Oversee graduate student meetings and milestone planning/documentation, ensuring requirements and milestones are met.
  • Develop and manage budgets for all graduate student activities and events.
  • Ensure that graduate financial support is carefully and accurately planned, implemented, and monitored; work with faculty advisors and other administrative staff, including the grants manager. Coordinate external fellowships with the Graduate School.

 

Undergraduate Responsibilities

  • Promote Geosciences as a major and Climate Science as a minor and lead the department’s efforts to attract undergraduate enrollment. Proactively create and undertake outreach activities to the undergraduate population, including developing new communications strategies, messages, and methods to help raise interest on campus about the Geosciences department.
  • Advise students on departmental requirements, course selection, and research proposals; oversee processes for junior independent work and senior thesis research. Meet regularly with all concentrators to ensure departmental requirements are being met.
  • Schedule all new and existing undergraduate courses, including precepts and labs; assign department classrooms and coordinate with the Registrar for the assignment of classrooms where necessary.
  • Manage undergraduate-focused events throughout the year, such as the Academic Expo, Sophomore Open House, student poster sessions/presentations, and Class Day. Develop and oversee budgets for these events.
  • Update and maintain undergraduate-focused pages of department website, consulting with the Director of Undergraduate Studies on program-related information.

 

Travel/Field Work

  • Manage funding requests in the Student Activities Funding Engine (SAFE): proactively inform students and advisors about procedural matters, enter award opportunities, and administer awards in accordance with departmental policies to ensure compliance with all relevant EHS and travel policies.
  • Organize, arrange, and support GEO course travel over fall/spring breaks, working with faculty to ensure a safe and meaningful experience for all students. Develop and manage the budget for these trips.
  • Ensure all that relevant travel and field work policies are followed to ensure safety, security, and research compliance.

Qualifications

Essential Qualifications

  • Bachelor's degree or equivalent experience
  • 3+ years of related work experience
  • Exceptional analytical, problem-solving, and decision-making skills; high attention to detail partnered with the ability to think and execute strategically
  • Highly effective organizational and project management skills
  • Very strong oral and written communication skills, with superior interpersonal skills
  • A desire to work with students and faculty
  • Demonstrated ability to gather, analyze, interpret, and present data (quantitative and qualitative) for varying constituencies and purposes
  • Ability to exercise good judgment, maintain confidentiality, and handle sensitive information in a discreet manner
  • Very high level of competency with Word, Excel, PowerPoint, Zoom, and Google applications

 

Preferred Qualifications

  • Working knowledge of Princeton University business systems such as PeopleSoft, Labor Accounting, Information Warehouse, Prime, Concur, Canvas and scheduling systems
  • Experience in a university department setting.
