Overview

The Office of the Dean of the Graduate School is seeking a Graduate Admission Coordinator. The position reports to the Assistant Director of Graduate Admission and Enrollment Services. This professional will join the Graduate Admission team in the office of the Dean of the Graduate School, which offers a challenging and supportive work environment. Engaged and dedicated staff members collaborate to enhance the educational experience of all graduate students at Princeton. This is a full-time position, with a preferred start date as soon as possible. Review of applications will begin immediately.

Responsibilities

Admission:

  • Provide comprehensive administrative assistance to applicants, prospective applicants, faculty, graduate administrators and other stakeholders concerning admission policies and procedures.
  • Using Slate Inbox respond to email inquiries related to admission and onboarding processes.  This includes addressing questions, providing information, and guiding applicants through the necessary steps to ensure a smooth and efficient admission experience.
  • Take proactive measures to process additional application materials, ensuring  that all received materials received are accurately matched to the corresponding application.
  • Troubleshoot and resolve issues with test scores; confirming they are attached to the appropriate applicant files.
  • Compile and prepare final admission summaries for the deans to review application files recommended for admission.
  • Support Director and Assistant Director with collection of annual application changes from 46 departments.
  • Update applicant information in Slate and PeopleSoft systems as necessary.
  • Organize and prepare administrative materials  In advance of the admission cycle, ensuring everything is ready for efficient processing.

 

Nondegree Programs:

  • Administer the non-degree process, maintaining all non-degree related correspondence and tracking application materials and approval requirements.
  • Create and generate admission offers for non-degree applicants.
  • Continuously update documentation to reflect changes in the process and as new programs are created.

 

Onboarding & Arrival:

  • Assist in completing I-9s for incoming degree-seeking and non-degree students.
  • Help with processing final transcripts for incoming graduate students.
  • Collaborate with others on the admission team to create the electronic student files for new incoming students through the OnBase system.

 

General Administrative Support:

  • Support the Director and Assistant Director of Graduate Admission and Enrollment as needed.
  • Support general office activities when necessary, under the coordination of the Graduate School Administrative Manager. Participate in Graduate School events (examples: Orientation, Hooding)
  • Perform other duties as assigned.

 

Qualifications

  • Bachelor's degree
  • Four to six years of work experience
  • Experience with admission and enrollment systems.
  • Strong written and verbal communication skills.
  • Proficient with computers and Microsoft Office (Word, Outlook, Excel). Must have the ability to learn other software packages and should be adaptable to ongoing changes in technology and procedures.
  • Ability to communicate positively and effectively with individuals at all levels both within and outside the university community.
  • Ability to organize time efficiently and prioritize workload; adept at problem solving, excellent attention to detail and possess sound judgment and discretion when handling confidential information.
  • Good time management, able to prioritize and meet deadlines.
  • Able to work quickly and efficiently with complex technical systems and juggle multiple priorities in a fast paced office environment.
  • Able to work independently and as part of a team, adapting to changes.
  • Effective team player, understanding the broader unit and university contexts.
  • Discreet in handling confidential information.

 

Additional Qualifications:

  • Experience with PeopleSoft, Slate, and OnBase
