Overview

Reporting to the associate dean & director of student leadership and engagement, the student organizations program coordinator plays an important role in advising undergraduate student organizations and assists in the daily management of student-initiated activities at Princeton University. This position will work closely with a number of student-run organizations and committees, the Undergraduate Student Government (USG), and Class Government. In addition, the program coordinator will collaborate regularly with colleagues in the Office of the Dean of Undergraduate Students to enhance and sustain events and programs that enrich the learning and extracurricular experiences of students.

 

This position is a full-time, three-year term.

Responsibilities

Student Advising and Engagement
• Meets regularly with student group leaders to discuss events, logistics, initiatives, and overall strategy for campus programming and competitions;
• Serves as a bridge between student leaders and key university offices to support events and compliance with University policy and is involved in University policy and governance related to student organizations;
• Serves as the primary reviewer and approver of student-sponsored activities and student organization off-campus travel in the University’s student organization event registration system, MyPrincetonU. Supports the Associate Dean and Assistant Deans in convening campus partners working with the MyPrincetonU system;
• Supports student organizations and committees, including, class government, the Undergraduate Student Government (USG), the Student Group Accountability Board (SGAB), and the USG Projects Board. Specifically, the Program Coordinator is responsible for managing logistics supporting the SGAB and Projects Board. The program coordinator serves as an advisor for a senior class commencement committees;
• Works with the Student Group Recognition Committee (SGRC) to onboard newly recognized student organizations and ensure groups have a complete understanding of policies and procedures;
• Attends weekly USG Projects Board meetings and advises board regarding the distribution of funds to student organizations. In conjunction with the board, oversees and distributes funds to support student organization activity;
• Supports Assistant Dean to plan and provide training programs for all student organization officers and treasurers.

 

Event Management and Financial Review
• Responsible for the review and approval of student organization financial activity, overseeing 500 accounts and 10,000+ transactions per year. Participates in weekly financial meeting with the Senior Associate Dean and Associate Dean;
• Participates in the development of policies and programs affecting undergraduates;
• Develops marketing assets and communication plans for engagement activities in collaboration with the manager of strategic communications;
• Collaborates with colleagues and other university offices (Public Safety, Facilities, Grounds, Risk Management, etc.) to sponsor and manage a variety of events and programs;
• Direct oversight of programming budget in excess of $250k
• In collaboration with the four undergraduate class governments and University departments, directs and executes the annual Orange and Black Ball for the entire undergraduate population;
• Plans and manages Skate Night events, working with Athletics and external vendors;
• Serves as primary facilitator of Halftime Retreat, an off-campus, overnight retreat for sophomores;
• Provides large-scale event support includes the USG Lawnparties concerts, Bonfire Celebration, Late Night Skate Nights at Baker Rink, Dean's Date celebrations, Orientation activities, and Commencement activities;
• Supports the management of the Spirit of Princeton prize and the Santos-DuMont prize.

 

Arts Program Support
• Coordinates and plans the annual Holiday Jam and Toy Drive, working with local entities, a non-profit organization, and student performing arts groups;
• Supports the work of the 117 student arts organizations registered with ODUS, as well as individual student artists using ODUS-managed resources;
• With the Assistant Dean in managing resources and spaces for the arts and develops use policies;
• Works with performing arts groups to strategize and develop sustainable scheduling and space use practices;
• Oversees the inspection, documentation, and maintenance of undergraduate student arts spaces, lockers, and vehicles;
• Under the direction of the Assistant Dean, coordinates the authorization of prop weapons and special effects for all student organization and University-sponsored performing arts with staff in ODUS and the Department of Public Safety.

 

Other Duties – 5%
• Serves in regular on-call rotation as a Free Expression Facilitator to support controversial programs, protests, and demonstrations;
• Participates in the development of policies, procedures, and programs affecting undergraduates;
• Serves on University-wide committees and working groups;
• Serves on other ad hoc work groups as assigned;
• Assists other colleagues with large events or emergencies as needed (protests and demonstrations, Class Day, etc.);
• Develops and maintains effective working relationships with academic, administrative, and other Campus Life partners to foster a strong working team when collaborating on jointly sponsored or supported events;
• Attends all ODUS and Campus Life staff meetings and retreats;
• Performs other duties as assigned by the associate dean.

Qualifications

Essential Qualifications:

• Bachelor's degree or equivalent 

• 3+ years related work experience 

• Experience with and understanding of activities and programs sponsored by undergraduate student organizations
• Ability to coordinate and prioritize a demanding schedule and a diverse portfolio of responsibilities
• Strong analytical skills and an ability to communicate orally and in writing
• Strong interpersonal skills as well as a demonstrated ability to work as part of a team and interact effectively with students, faculty members, and administrators
• Sensitivity to the needs and concerns of students from diverse backgrounds
• Working knowledge of current trends in undergraduate cocurricular and social life
• Excellent organization and problem-solving skills
• Availability to work nights, overnights, and weekends during the academic year in order to ensure proper oversight of programs and events.

 

Preferred Qualifications:

• Budgetary management experience
• Demonstrated creative ability in program development
• Experience with establishing new programs and/or initiatives
• Demonstrated ability with web-based technology and software, such as Concur, Google Drive, Microsoft applications, and Canva
• Creativity in advising student organizations on the planning and implementation of programs
• Familiarity with highly selective and academically rigorous institutions
