Overview

The Keller Center at Princeton University is seeking a highly organized and proactive Operations Coordinator to provide essential support for the Center’s administrative and programmatic functions. This position plays a key role in ensuring the smooth execution of daily operations, events, and communications activities. The Coordinator will interact regularly with students, faculty, staff, and campus partners, serving as a welcoming and knowledgeable point of contact for inquiries related to Keller Center programming.

The ideal candidate brings strong attention to detail, a positive and professional demeanor, and the ability to manage multiple tasks with discretion and efficiency in a fast-paced, collaborative environment.

Responsibilities

Operational Support (50%)

  • Coordinate and complete day-to-day operational processes, including data entry, tracking, and filing
  • Ordering of supplies, office maintenance requests, and facilities coordination
  • Submit and track approvals in University systems such as SAFE, Concur, GPS, Marketplace, Work Order, and project management platforms
  • Maintain calendars and schedule meetings for Keller Center team members and programs
  • Support budget and purchasing processes as needed

Program and Event Coordination (30%)

  • Provide on-site support for Keller Center events and programs, including setup and logistics
  • Serve as a liaison to student participants, assisting with communications and coordination
  • Assist with the creation of event collateral (flyers, signage, nametags, etc.)
  • Provide basic video captioning services for public-facing content as needed

Communications and Outreach (20%)

  • Serve as one of the first points of contact for visitors, phone calls, and email inquiries
  • Coordinate with communications staff to provide timely website updates and announcements
  • Ensure the Keller Center’s public-facing information remains accurate and up to date
  • Assist with the preparation of presentations and internal documents

Qualifications

Essential Qualifications

  • Bachelor’s degree or equivalent combination of education and experience
  • Minimum of 2 years of administrative or operations experience, preferably in a higher education or nonprofit setting
  • Excellent organizational, time management, and interpersonal communication skills
  • Strong attention to detail and commitment to accuracy
  • Proven ability to handle confidential and sensitive information with discretion
  • Comfort with technology platforms; proficiency with Microsoft Office, Google Workspace, and willingness to learn Princeton systems such as Concur, Marketplace, GPS, and SAFE

Preferred Qualifications

  • Familiarity with Princeton University systems and procedures
  • Experience supporting events or programs in an academic environment
  • Demonstrated creativity or experience in basic communications and design
