Princeton University invites applications and nominations for an experienced and innovative leader to serve as the University Registrar. The Registrar must operate and lead in a collaborative university culture where technology, systems, and processes are quickly evolving while a commitment to operational excellence in support of the unique aspects of a Princeton education is retained. The Registrar is charged with stewarding academic records and information for undergraduates, graduate students, and faculty and will be a lead on the university’s planning for and implementation of a new Enterprise Resource Planning (ERP) solution over the next several years.
The Registrar maintains campus-wide integrity of student data and provides accurate and timely information to support decision-making, core business needs in other units, the University’s strategic planning and assessment initiatives, and external reporting requirements. The Registrar also manages classroom space. The successful candidate will ensure that the Office of the Registrar provides the highest level of service to faculty, students, and cross-campus administrative units through its careful stewardship of student records and its efficient and effective communication of information.
The Registrar reports to the Vice Provost for Academic Affairs and is a member of the Provost’s senior staff, with close working relationships with the Dean of the College and the Dean of the Graduate School and their teams. The Registrar currently oversees a staff of fifteen, with responsibilities ranging across curriculum and catalogue management, classroom and exams scheduling, and data collection and reporting, currently using PeopleSoft as the primary Enterprise Resource Planning (ERP) system coupled with an Oracle-based information warehouse. Several institutional software-as-a-service solutions that integrate with the ERP, including Stellic, are also overseen by the Registrar for activities that include student program requirements mapping, course enrollment, and course evaluations. The Registrar has multiple points of contact, including the undergraduate residential college system; the Offices of Admission, Undergraduate Financial Aid, Finance and Treasury, and Institutional Research; and academic departments, faculty, and staff responsible for academic advising and curricular management. The Registrar’s team also works closely with the Office of Information Technology to support, modify, and upgrade student record and reporting systems.
The Registrar supports the academic mission of the university and plays an advisory role on academic policy matters through ex officio positions on the Faculty Committees on Examinations and Standing and the Course of Study. The Registrar (or the Registrar’s designee) currently also serves on the Faculty Committee on Classrooms and Schedule and is a member of the university-wide Academic Data Group, which stewards academic organization mapping and reporting needs on behalf of the Cabinet-level Academic Planning Group. As needed, the Registrar is also called upon to advise the Curriculum Subcommittee of the Faculty Committee on the Graduate School.
The Registrar ensures the accuracy, integrity, and appropriate confidentiality of academic records, has oversight of the scheduling of courses and classrooms, and tracks academic policies related to curricular requirements. The Registrar also oversees academic registration, honors, and awards; the scheduling of exams; the processing and reporting of grades; the tracking of graduate student completion of non-course-based program requirements; and degree audits and enrollment verification. The Registrar provides transcripts, prepares diplomas, and reports data about the staffing, formats, and evaluation of courses. The Registrar is responsible for reporting university information to state and federal agencies as well as external organizations, including the National Student Clearinghouse.
