Overview

The Office of Population Research at Princeton University seeks an Administrative Assistant who will provide administrative support for teaching and research activities, as well as serve as an administrative support person for Center compliance issues (human subjects cases and data agreements).  The Administrative Assistant must demonstrate a high degree of professionalism in a fast-paced environment, use sound judgment, maintain confidentiality, possess strong organizational skills, and remain flexible as demands and priorities change.  The Administrative Assistant reports to the Associate Director of the Office of Population Research.

Responsibilities

  • Assist faculty with course resources, which includes maintaining course websites (Blackboard) and faculty ListServs, preparing class materials, processing orders for books and articles, assembling and collating course materials, coordinating reserve materials, and securing access to all necessary classroom technology.
  • Support the population center compliance issues in the areas of human subjects, data agreements, and publications.
  • Arrange travel and hotel accommodations for faculty and guests.
  • Schedule appointments and maintain electronic calendars. 
  • Coordinate catering and equipment rentals for courses, luncheons and meetings.
  • Process faculty and departmental expenses, creating and processing suppliers, invoices, vouchers, honoraria, and travel reimbursement forms; and reconciling project grant accounts.
  • Update and maintain faculty CVs and biographical information.
  • Assist in the maintenance of the Center's PubMed publications and other publication lists.
  • Interact with students, schedule student appointments, and schedule and set up conference calls.
  • Broker issues between faculty members and other research organizations as needed.
  • Perform additional miscellaneous tasks as necessary.

Qualifications

Essential Qualifications:

  • Minimum of 1-3 years of related experience with proven office administration abilities.
  • Accuracy, close attention to detail, the ability to adhere to deadlines, and discretion when dealing with confidential materials are essential.
  • Strong oral and written communication skills; must be proactive and demonstrate initiative; work independently; be flexible and resourceful; adaptable to changing needs and demands; maintain confidentiality.
  • Must have excellent computer skills. Proficiency in Microsoft applications, including Word, Excel, PowerPoint and Outlook, is required.  
  • Must have editing and proofreading skills and be skilled at tables and embedding figures for course materials and presentations.
  • Must organize time efficiently, work independently under pressure of multiple deadlines and set priorities while working on multiple projects.
  • Must take responsibility for task follow-up and completion.
  • Willingness and demonstrated ability to learn new computer applications as needed.

 

Preferred Qualifications:

Knowledge of Blackboard, Princeton's Information Warehouse, and PeopleSoft purchasing system is preferred. A Bachelor's degree is also preferred, as is previous experence in an academic environment.
