Overview

The VIS Office and Travel Assistant reports to and provides administrative and programmatic support to the Director, Program Manager and the LCA Executive Director. The Office and Travel Assistant will support the Program Manager in ordering supplies and assisting with needs for all VIS classes and provide administrative support for the summer trip to Japan. The Office and Travel Assistant must demonstrate a high degree of professionalism in a fast-paced environment, use sound judgment, maintain confidentiality, possess strong organizational skills, and remain flexible as demands and priorities change.

Responsibilities

Responsibilities include ordering supplies for classes, maintaining classroom stocks, providing administrative support to the Visual Arts faculty, and coordinating the summer trip to Japan. Travel support includes booking hotels, travel and meals and coordinating student applications.

Qualifications

ESSENTIAL

  • Minimum of 1-3 years of related experience with proven office administration abilities and experience with travel planning.
  • Knowledge of Concur.
  • Accuracy, close attention to detail, the ability to adhere to deadlines, and discretion when dealing with confidential materials are essential.
  • Strong oral and written communication skills; must be proactive and demonstrate initiative; work independently; be flexible and resourceful; adaptable to changing needs and demands; maintain confidentiality.
  • Must be able to lift and carry boxes of 25 pounds.
  • Must have excellent computer skills. Proficiency in Microsoft applications, including Word, Excel, and Outlook, is required.

 

PREFERRED

  • Experience planning International Travel is preferred.
  • Knowledge of Blackboard, Princeton's Information Warehouse, and PeopleSoft purchasing system is preferred.
