This position reports to the assistant director and director of the University Center for Human Values (UCHV). It also provides a broad range of administrative and organizational support to the University Center's faculty, visiting fellows and postdocs. To that end, the person in this position must employ complex decision-making skills and use discretion to prioritize and complete tasks within the programmatic scope of UCHV. The position requires the initiative and completion of tasks related to business management, event planning, communications, and database creation and maintenance. The person in this position must use discretion to prioritize and execute tasks in a manner that results in a highly efficient and productive environment through the use of technology and processes. This position also requires the ability to switch between working under close supervision and working independently, depending on the activity.


The Administrative Assistant is responsible for providing support to the University Center Director and Assistant Director, maintaining the Director's calendar and coordinating use of the seminar room.  A significant portion of the position's responsibilities involves business management, using Concur and Prime systems, to prepare and review expenses related to research accounts; process payments to external vendors; and provide account balances.  The position also involves event management including all aspects of event planning, particularly for UCHV seminars, workshops and multi-day conferences. Another main component of the position is providing general administrative support to UCHV affiliates including ordering supplies, maintaining subscriptions, identifying and initiating work order for building maintenance and improvements, shipping, and maintaining the UCHV database.


Formal Education: Associates or other 2-year degree

Work Experience: 4-6 years


  • Demonstrated experience in compliance regulations for substantiation of expenses.
  • Ability to work independently with minimal supervision and as part of a team
  • Superior interpersonal skills and the ability to communicate effectively with a broad array of people
  • Excellent organizational skills, including the ability to set priorities and juggling competing demands and deadlines
  • Tact, excellent judgment, and the ability to maintain confidentiality when handling sensitive situations
  • Comfort with decision making and problem solving
  • Particular attention to details and accuracy
  • Experience with academic event planning (seminars, conferences, workshops)
  • Advanced computer skills (Microsoft Office Suite, Filemaker Pro, University Business Systems such as Prime and Concur, Adobe Professional) and the ability and willingness to learn new systems quickly and use technology effectively.
