  • Overview

    Reporting to the Registrar, this staff member is functionally responsible for the management, support, and product design of PeopleSoft Student Systems. As such, the Associate Registrar for Student Systems is one of three University PeopleSoft system component managers (human resources, faculty and student).

     

    Responsibilities include project management for the PeopleSoft student system upgrade and the annual patching cycle; project management and oversight for all student system projects (5-7 per year); administrative oversight of numerous system components including system support of student record functionality from matriculation through graduation. Designs and manages advanced placement, residential college assignments, ODOC advising projects, dean’s actions, study abroad system integration, grading and grade rosters, Stuview functionality, advisor assignments, functional support of advising tools such as Advising Notes and ODUS Notes, system security access, transcript and electronic transcript programs, enrollment verification functionality, honors and awards, and the numerous components of graduation processing. Responsible for proper integrative functioning of all components, including those managed by other Registrar staff, e.g. transcripts, TigerHub, CIS, and Degree Progress reporting; manages the department’s web development function.

     

    The Associate Registrar functionally oversees system FERPA and accessibility compliance and insures University risk management protocols (legal and reputational) for student records.

    Responsibilities

    • Manage functional components and oversee the design and function of all services of the PeopleSoft Student System
    • Provide leadership and direction for the creation and implementation of strategic and tactical plans to develop and enhance use and functionality of the PeopleSoft Student Administration System (Campus Solutions). This includes participation in OIT enterprise and departmental discovery/design projects;
    • Manage and supervise student system-related projects to ensure project completion on time and within budget
    • Coordinate testing for systems upgrades and projects
    • Manage and support the work of the Systems Operations staff, including staff training
    • Manage and support the work of the department’s web application development function and staff
    • Participate in OIT data management groups such as the Project Managers’ Group and the Data Management Advisory Group
    • Build consensus around system operations, policies and procedures
    • Facilitate requirements definition sessions and manage priorities to effect problem resolution and to meet goals
    • Ensure adequate functional system training for office staff and campus constituents
    • Manage the production schedule and production meetings
    • Administer security for the Office of the Registrar; and manage Student Admin security, security workflow, and determinations regarding admission to security classes; work with the security administrator to create new classes
    • Provide strategic leadership and direction to administrative and academic departments to define and refine business procedures that rely on student data
    • Coordinate interdependencies and integration with other University systems that use/rely on student data
    • Maintain understanding of emerging trends in the use and management of student systems and other diverse technologies
    • Participate in the management of the department by serving on the leadership team
    • Other duties as assigned.

    Qualifications

    • Bachelor’s degree required; master’s degree preferred
    • Sophisticated interpersonal/organizational/consultative skills
    • Experience building functional components of the PeopleSoft Student Administrative System
    • Experience managing or participating in the management of enterprise technology projects
    • Experience testing and monitoring system functions
    • Ability to participate on the department’s leadership team
