  • Overview

    Reporting to the dean of admission and department manager, the budget coordinator will assist in managing and balancing the operating budget of the admission department. The budget coordinator will work with senior members in the office of admission staff including the dean of admission, director of admission, and several associate deans to ensure department expenditures fall within the budgets set for the financial year, and is responsible for the day-to-day and monthly financial reporting of the department.


    In addition to tasks related to the department budget, the budget coordinator will perform other duties as assigned.


    • Monitor the operating budget of the department. The department budget includes seasonal employee staffing costs, domestic and international recruitment, print and e-communications, Princeton Preview and other events, IT and application memberships, special program funding, and other in-house expenditures. This responsibility includes, but is not limited to:
      • Working with the director of admission to ensure all domestic and international recruitment expenditures fall within the set budget for the fiscal year.
      • Working with the dean and director of admission on all communication expenditures, as well as expenses for the department's 35+ seasonal application reading staff and an additional Orange Key Tour Guide program staff.
      • Working with the associate dean of transfer admission on the transfer student budget.
      • Preparing day-to-day and monthly financial documents and reports. Identifying variances between actual and budgeted financial results at the end of each reporting period. 
    • Review and approve expenses.
    • Issue payments and handle all department invoices.
    • Assist with various aspects of the application process including, but not limited to, processing applicant documents, and preparation of mailings to prospective and admitted students.
    • Assist with reception desk coverage throughout the year.
    • Administrative work during the peak application review season.
    • Other duties as assigned by the dean of admission.



    • Bachelor's Degree.
    • 4-6 years work experience.
    • Ability to analyze financial information (e.g., revenues, expenditures, and cash management) to ensure all operations are within budget.
    • Ability to present an annual budget to senior members of the department.
    • Excellent analytical skills with high attention to detail.
    • Works well in a team environment.
    • Ability to multi-task in a fast-paced, deadline-driven environment.
    • Excellent communication and interpersonal skills.
    • Tact, diplomacy, patience, discretion, sense of humor, and respect for fellow co-workers.
    • Proficiency with Microsoft Office Applications including Word and Excel.
    • Ability to learn computer-based systems quickly.
    • Prior Experience with PeopleSoft Student Administration System and Slate preferred.
