  • Overview

    The Office of the President seeks a motivated and talented senior administrative assistant. This newly created role will provide high-level support in a dynamic, fast-paced and collaborative University department. Reporting to the Special Assistant for Communications and Research, the senior administrative assistant will work closely with staff members in the Office of the President and other campus units and play a critical role in the daily operations of the Office of the President.

    Responsibilities

    • Assists the Assistant to the President in managing the schedule and complex calendar for the President, exercising discretion and judgment.
    • Prepares confidential and/or sensitive material such as correspondence, speeches, memos, reports and board materials with a high degree of accuracy and thorough attention to detail.
    • Assists office colleagues in planning and managing complex travel arrangements for the President.
    • Reviews background materials for meetings and events involving the President, and appropriately queries campus partners when additional information is needed
    • Manages special projects as assigned.
    • Manages correspondence queue for items requiring the president’s signature in coordination with campus partners; monitors and tracks incoming and outgoing correspondence, as appropriate
    • Serves as the initial point of contact with other university and external offices, and makes independent decisions on routing and resolution of incoming calls and emails.
    • Represents the office to, and interacts with trustees, senior administrators, managers, faculty, staff, students, and distinguished individuals outside the University.
    • Organizes, manages, and provides administrative support for special projects and events
    • Provides occasional coverage for department colleagues.

    Qualifications

     

     

    Position requires:

     

    • At least five to ten years of experience supporting executive level management, preferably in a higher education setting.
    • Ability to understand and be committed to the University’s mission and culture.
    • Strong attention to detail, accuracy, and ability to organize and synthesize complex information
    • Excellent written and oral communication skills; excellent proofreading skills
    • High level of proficiency with MS Applications (Outlook, Word, Excel, PowerPoint) with emphasis on reports and presentations
    • Demonstrated strength in critical thinking and in identifying system solutions
    • Demonstrated ability to handle multiple assignments and respond quickly to changing business needs and priorities
    • Demonstrated ability to plan and anticipate needs, as well as the ability to develop and maintain a professional, collaborative, and interactive environment.
    • Strong commitment to customer service, both internally and externally
    • Facility with both strategic thinking and planning with tactical implementation and execution.
    • High level of discretion in handling confidential information
    • Solid and confident decision-making skills and outstanding judgment, high energy and enthusiasm, and the ability to function effectively and independently
    • Ability to establish priorities, anticipate schedule demands, and meet deadlines under pressure
    • Discretion, good judgment, and commitment to keep confidential all data related to Princeton.
    • Demonstrated diplomacy and professionalism to work with and command the respect of colleagues, campus partners, and alumni.

    Preferred Qualifications:

     

    • Bachelor's degree
    • Prior University experience
    • Familiarity with Prime and Concur
