  • Overview

    The Office of the President seeks a highly skilled, dynamic Executive Assistant to the assistant vice president and chief of staff (AVP/COS) to the president. This newly created role, which will report to the AVP/COS, will provide executive-level administrative support in a fast-paced environment, handle complex special projects, and represent the AVP/COS and the Office of the President to a wide range of university and external constituencies.

    Responsibilities

    The Executive Assistant is a key member of the Office of the President and plays an important role in the support of the AVP/COS, helping to advance the University’s strategic priorities and ensure that the Office operates efficiently, effectively, and with a high level of professionalism.

     

    The Executive Assistant is responsible for:

    • Proactively managing the AVP/COS’s schedule and complex calendar, exercising discretion and judgment as to priorities and effective use of the AVP/COS’s time and assisting with efforts to accomplish objectives, deadlines and commitments.
    • Effective meeting scheduling, often involving many attendees and a rapid timeline.
    • Managing special projects as assigned by the AVP/COS.
    • Serving as the initial point of contact for the AVP/COS with other university and external offices, and making independent decisions on routing and resolution of incoming calls and emails.
    • Representing the office to, and interacting with trustees, senior administrators, managers, faculty, staff, students, and distinguished individuals outside the University.
    • Drafting, preparing and editing routine written correspondence, including presentations, agendas, and minutes.
    • Managing budget and expenses for the AVP/COS.
    • Playing a pivotal role in coordinating the preparation for Board of Trustee meetings.
    • Organizing, managing, and providing administrative support for special projects, retreats and events.
    • Undertaking research projects and collecting data as needed for meetings and special initiatives.
    • Preparing materials for all meetings sponsored by the AVP/COS and tracking items for follow-up.
    • Providing occasional coverage for department colleagues.

    Qualifications

    Position requires:

     

    • At least five to ten years of experience supporting executive level management, preferably in a higher education setting.
    • Ability to understand and be committed to the University’s mission and culture.
    • Strong attention to detail, accuracy, organizing and synthesizing information
    • Excellent written and oral communication skills
    • High level of proficiency with MS Applications (Outlook, Word, Excel, PowerPoint) with emphasis on reports and presentations
    • Demonstrated strength in critical thinking and in identifying complex system solutions
    • Demonstrated ability to handle multiple assignments and respond quickly to changing business needs and priorities
    • Demonstrated ability to plan and anticipate needs, as well as the ability to develop and maintain a professional, collaborative, and interactive environment.
    • Strong commitment to customer service, both internally and externally
    • Facility with both strategic thinking and planning with tactical implementation and execution.
    • High level of discretion in handling confidential information
    • Solid and confident decision-making skills and outstanding judgment, high energy and enthusiasm, and the ability to function effectively and independently
    • Ability to establish priorities, anticipate schedule demands, and meet deadlines under pressure
    • Discretion, outstanding judgment, and commitment to keep confidential all data related to Princeton.
    • Demonstrated diplomacy and professionalism to work with and command the respect of colleagues, campus partners, and alumni.

     

    Preferred Qualifications:

     

    • Bachelor's degree
    • Prior University experience
    • Familiarity with PeopleSoft and Concur
