The Program Coordinator serves as a resource for all members of the University community on issues of gender and gender equality, and works collaboratively with the Women’s Center Director to support the mission and function of the Women’s Center. The coordinator provides extensive programming, outreach and education on campus; assists students, staff, faculty, alumni and community members who access the space and services of the Center; advises student organizations; supervises student employees and volunteers; assists with administration of the Center; makes referrals, and helps maintain the office’s physical space.
The greatest portion of the job is the responsibility for all aspects of the Women’s Center’s robust and comprehensive programming, from development through execution. The next most significant functions are student leadership development and advising; resource development and outreach; and administrative, budget, and office oversight. Special project coordination is the other main function of this position.
One of the greatest aspects of this job is taking responsibility for all of the Women’s Center’s comprehensive programming from inception, through delivery, and post-program assessment. This includes, but is not limited to: taking care of all details for each event (i.e. room reservations, contacting presenters, ordering food, setting up and cleaning up after events, negotiating with vendors/agents regarding contracts and payments, etc.), developing publicity and program materials, evaluating programs, and assisting the director in conducting programmatic need assessments and strategic planning. The Program Coordinator will work collaboratively with the director to develop the program agenda for each year, work with colleagues across campus, as well as community partners on joint programmatic initiatives, and physically create a printed and online calendar each semester.
Student Leadership Development and Support Services
The Program Coordinator engages with, and offers advisement to student groups that are both directly affiliated with the Women’s Center (including Princeton Women’s Alliance), and those whose missions overlap with that of the Women’s Center (such as Princeton Students for Gender Equality, Princeton Students for Reproductive Justice, Society of Women Engineers, etc).
The Program Coordinator maintains contact information and communication with student leaders from across campus (i.e., Athletics, Eating Clubs, RCAs, etc.) to use for various programs that target women leaders.
The Program Coordinator is the front-line supervisor for the Women’s Center student workers, and is responsible for hiring, training, building work schedules, and ensuring that students have project assignments and are meeting deadlines. The Coordinator directs students to appropriate resources both on and off campus.
Administrative, Budget, and Office Oversight
The Program Coordinator is the primary point of contact for persons using the Center’s programs, spaces, and services; and is responsible for creating an inclusive and welcoming experience. The Coordinator is responsible for assisting visitors to the Center, answering phones; checking office voicemail and email, managing room requests, and maintaining the appearance of the common spaces.
The Coordinator is responsible for completing all accounting and paperwork associated with the Women’s Center finances and budget management. Financial duties include, but are not limited to monitoring requests for funding via the SAFE system; assisting the Director in managing the Center’s budget (eg., running reports, projections and analyses); managing all financial transactions (i.e., paying bills and invoices, reconciling chart strings and credit card logs on a monthly basis); managing all student travel related to the Center; and staying up-to-date with Finance and Treasury Office policies.
Other administrative duties include maintaining office subscriptions and social media and online accounts, making service requests when needed, monitoring and ordering office supplies and program materials, and additional duties as assigned.
Communications, Outreach and Resource Development
Program Coordinator manages outreach efforts to underrepresented students, faculty and academic departments, Residential Colleges, and other campus entities as guided by the Center’s Strategic Plan. The Program Coordinator oversees all marketing, branding, and communications materials, including electronic and print media (eg., posters, calendars, webpage, and weekly newsletter).
Special Projects Coordination
Most special projects will be programmatic in nature, and include the upcoming celebration of the 50th Anniversary of Undergraduate Women at Princeton, awareness weeks and months, alumni and community functions and commemorations.
Other functions include developing training curricula for different sectors of the university community (such as for student facilitators of the Dialogue and Difference in Action Program, Residential College Advisors, and leaders of student organizations as requested). The Program Coordinator will maintain an archive of Women’s Center programs, communications, and photos; and will administer the Women’s Center’s collection of books and resource materials.
In addition to the responsibilities listed above, there may be additional miscellaneous duties assigned.
