  • Overview

    The Library seeks a self-motivated individual with a strong public service orientation, excellent communication skills, and strong technical and problem solving abilities to work in the Reserve and Resource Sharing Unit.  This position will report to the Manager of Reserves and Resource Sharing, and provide support to the operations in the unit, with a focus on problem-solving hardware and software, generation of statistical reports, processing of billing and payments, and successful request fulfillment.

     

    The Assistant Manager will directly supervise four staff members, provide staff development and training, and monitor and evaluate their performance. The incumbent will supervise the entire unit when the manager is absent.    

     

     

    Responsibilities

    Working with the manager of the unit, the Assistant Manager will assess and adjust workflow and daily operational procedures to meet changing needs. This position will work with unit staff to obtain materials not available at Princeton University Library. S/he will utilize a variety of bibliographic databases and interlibrary loan and reserve management software (ILLiad, Ares, Relais D2D) to search, create, process and problem solve requests to and from PUL. The position will work closely with staff, both in Firestone and branch libraries, as well as libraries and vendors outside PUL to accomplish successful fulfillment service for PUL patrons.

     

    The successful candidate will process billing and payment for the unit in collaboration with the unit manager and Library finance management personnel. The position receives bills from other libraries, institutions and vendors and pays accordingly with check, IFLA voucher, credit card, and other methods allowed by University policy, and updates interlibrary records as well as Onbase and Concur. The position will manage copyright and make payments as needed. This individual keeps a record of financial transactions and submits reports to the manager.

     

    The position will serve as the unit’s in-house technical expert, and as a resource person in matters relating to resource sharing and reserves software and hardware in the RRS Unit, and in other library units which conduct RRS operations. Tasks will include, but are not limited to: tweak resource sharing and reserves software configuration, create and modify various email and print templates, solve problems with scanners and other hardware/software used in the unit, and escalate problems to the next level support when needed, providing documentation, collaboration and assistance. As one with working knowledge of SQL and MS Access, the incumbent provides the statistical reports of the unit’s activities and various reports on-demand which help other library departments make evidence based decisions. The incumbent will work on projects and other duties as assigned.  

    Qualifications

    Requirements: 

    • Demonstrated public services experience;
    • Ability to work collaboratively and effectively with colleagues and customers;
    • 4-6 years library experience, with supervisory responsibility;
    • Demonstrated ability to create training materials or programs and effectively train others;
    • Ability to create a variety of statistical reports utilizing SQL/MS Access queries;
    • Demonstrated proficiency with HTML and MS Word to customize and maintain templates and forms
    • Working knowledge of interlibrary loan and document delivery software;
    • Knowledge of Voyager circulation module, or other similar software;
    • Experience working with challenging citations to correctly identify corresponding bibliographic records;
    • Knowledge of copyright and fair use practices in a resource sharing environment;
    • Experience with high volume scanning and document delivery;
    • Ability to handle numerous, concurrent and often complex transactions;
    • Ability to organize work effectively, and consistently meet deadlines;
    • Ability to recognize and resolve complex problems;
    • Ability to adapt to a changing work environment;
    • Ability to work well in a high-pressure environment;
    • Excellent written and verbal communication skills;
    • Demonstrated ability to bend, stretch, reach high and low shelves, to lift volumes weighing as much as 15 pounds, and to push book trucks and large delivery carts, and tolerate dust.

     

     

    Work Schedule:  Monday-Friday 8:45am-5:00pm; summer 8:30am-4:30pm.

    Some evening and week-end work may be required.

       

    Preferred:

    • Experience with ILLiad resource sharing software;
    • Working knowledge of Odyssey, Article Exchange, OCLC, Adobe Acrobat, Voyager staff clients, and Relais’ Discovery to Delivery (D2D) software;
    • Experience with Concur, Onbase   
    • Knowledge of one or more foreign languages;
