    Do you want to be a part of a team involved in leading a new software institute engaged in groundbreaking discoveries? Do you want to help and support computational and data science driven research?  Do you have a background in research administration and finance?  If so, Princeton University’s Institute for Computational Science & Engineering (PICSciE) is recruiting a full time Finance and Grant Administrator to join its team.

    In this position, you will be an integral member of a team focused on supporting the newly established Institute for Research and Innovation in Software for High Energy Physics (IRIS-HEP) within PICSciE. In this work, you will report directly to the institute manager, support and work closely with the PI, Co-PIs, s, researchers and staff involved in the IRIS-HEP project as well as their external collaborators. You will also provide overall budget, financial and research administration support in the department. This position will assist and serve as a back-up to the institute manager in her absence.  


    If you have a strong background in finance and research administration, you have the right skill set to make an immediate impact to our organization. Initial appointment will be for 5 years with the possibility of renewal subject to satisfactory performance and availability of funding.

    Responsibilities

     

    • Providing research administration support for the IRIS-HEP program office including all the subawards
    • Overseeing and ensuring the approval of all invoices and compliance associated the IRIS-HEP Cooperative Agreement
    • Tracking and reconciling down invoices submitted by the subrecipients
    • Preparing, maintaining and ensuring compliance to all budgets for the IRIS-HEP project
    • Collaborating with other members of IRIS-HEP project which include admins, post-docs and PIs from all the subrecipients
    • Creating, organizing, and maintaining records and files for the IRIS-HEP Cooperative Agreement
    • Preparing expense reports, reimbursements and similar financial related activities as needed
    • Work with ORPA/SRA for  subaward modifications and extensions
    • Working with the institute manager to perform general accounting activities including reconciliations and preparing financial reports in an accurate and timely manner
    • Assisting with budget preparation, purchasing, and capital equipment acquisitions
    • Maintaining the capital asset inventory and database
    • Generating reports, monitoring  spending and providing regular and timely financial analysis and reporting of the departmental grants and operating accounts to the institute manager

    Qualifications

    • Bachelor’s degree or equivalent experience in research administration, accounting and finance is preferred.
    • At least 5 years of experience in research administration or grants management (particularly subawards) and finance in an academic setting
    • Experience with COEUS, Fastlane, Prime (PeopleSoft systems) as well as MS applications such as Excel and other collaborative tools (e.g., Google Drive)   
    • Strong interpersonal skills and ability to respond promptly and professionally to requests for assistance from faculty, researchers and staff
    • Ability to multi-task and meet deadlines at short notice
    • Strong oral and written communication skills
    • Background in research administration, accounting and finance
